Privacy Policy

This policy explains what personal data TransportMatch collects when you use the website or the mobile app, why we need it, how long we keep it and what rights you have. It applies to customers who post transport jobs, carriers who quote on them, and visitors.

1. Who is responsible for your data

TransportMatch B.V. is the data controller. You can reach us at:

2. What data we collect

  • Account data: name, email address, password (stored encrypted), account type (customer or carrier), country, and optionally a profile photo.
  • Company data (carriers): company name, CoC number, VAT number and phone number.
  • Payout data (carriers): bank name, account holder, IBAN and BIC, used only to pay you for completed jobs.
  • Job data: pickup and delivery address, country, cargo description, dates, calculated route and distance, quotes and prices.
  • Messages: the in-app chat between a customer and a carrier about a job.
  • Proof of delivery: the delivery photo and the digital signature of the receiver.
  • Payment data: amount, status and payment reference. Card and bank details are entered with our payment provider, not on our servers.
  • Technical data: IP address, device and browser type, and error logs needed to keep the service secure and working.

3. Why we use it and on what legal basis

  • To perform the agreement: creating your account, publishing jobs, exchanging quotes, enabling chat, processing payments, recording proof of delivery and paying carriers out.
  • Legal obligation: invoicing and keeping financial records for the statutory retention period.
  • Legitimate interest: preventing fraud and abuse, moderating content, blocking contact details from being exchanged before a deal is agreed, securing the platform and improving the service.
  • Consent: optional messages such as newsletters. You can withdraw consent at any time.

4. What other users can see

A published job shows the pickup and delivery city and country, the cargo type, the dates and the distance. Exact addresses, full names and contact details are hidden. Before a quote is accepted, our system automatically masks phone numbers, email addresses, street addresses, websites, company names and full names in the chat. Once a quote is accepted, the customer and the chosen carrier see the details they need to carry out the job. Accepted and completed jobs are no longer visible to other users.

5. Who we share data with

We never sell your data. We share it only with processors that help us run the service, under a data processing agreement:

  • Our hosting and database provider, for storing the platform data (EU servers).
  • Our payment provider (Mollie), for processing payments and refunds.
  • Our email provider, for account, job and invoice notifications.
  • A map and route service, to calculate the distance between two addresses.
  • Our accountant and, where legally required, government authorities.

6. Camera, photos and location (mobile app)

The app asks for access to your camera or photo library only when a carrier uploads the mandatory delivery photo. Address and route information is used to calculate the distance of a job. We do not track your location in the background and we do not use your data for advertising.

7. How long we keep data

  • Account data: as long as your account exists, then deleted or anonymised.
  • Jobs, quotes, chat and proof of delivery: up to 7 years after completion, because they support the invoice and may be needed in a dispute.
  • Invoices and payment records: 7 years (Dutch tax law).
  • Technical logs: normally up to 12 months.

8. Your rights

You have the right to access, correct, delete or restrict your data, to object to processing, and to receive your data in a portable format. Email info@transportmatch.eu and we will respond within one month. You can also delete or request deletion of your account from within the platform. If you are not satisfied, you can complain to your national data protection authority — in the Netherlands, the Autoriteit Persoonsgegevens.

9. Security

Data is transmitted over encrypted connections, stored on servers within the European Union, and access is limited to the people who need it. Delivery photos and signatures are stored in protected storage and can only be opened through a temporary secure link.

10. Cookies

We use functional cookies and local storage to keep you signed in and to remember your preferences. These are necessary for the platform to work. We do not use advertising or tracking cookies.

11. Changes to this policy

We may update this policy when the service changes. The date at the top shows the latest version. For significant changes we will notify you by email or in the app.
